JAGForce <> Headrush Integration: Information for Affiliates

Headrush & Prolocity have developed a workflow to automatically create and update users and groups in Headrush based on account and roster information added/updated in JAGForce. The syncing process will happen automatically every 2 hours.

What is included in the sync?

  1. New Accounts: When a contact record for a specialists or student is added to JAGForce, a corresponding user account will be automatically created in Headrush.

  2. Account Updates: When key fields in the contact record for a specialist or student, such as name and email, are changed, those changes will be automatically reflected on the corresponding Headrush accounts.

  3. New Roster Groups: When a new Roster is created in JAGForce, a corresponding group will be created in Headrush and assigned to the specialist.

  4. Roster Enrollment: When students are enrolled in a roster in JAGForce, they will automatically be added to their corresponding group in Headrush.

What Headrush Groups will be created?

In Headrush, group membership controls who can see who (e.g. other learners and specialists) and what (e.g. Warehouse categories and Landing Pages).

Each affiliate will have the following groups managed:

  • All staff: "Affiliate Code - All Staff"

  • If regions are used by the affiliate, a group will also be created for each region: "Affiliate State Code - Region # - All Staff"

  • A group will be created for each JAGForce roster in the affiliate with the name "Affiliate State Code - Roster Name"

  • If the roster in JAGForce has sub-groups, a group will also be created for each sub-group: "Affiliate State Code - Roster Name Subgroup #"

When a specialist is added in JAGForce, what happens in Headrush?

When the automated process creates a new Specialist account, Specialists will receive an email notification with a invite to activate their account.

Clicking Active your account will prompt the specialist to set their own password.

How will students be notified of their new account?

Specialists can use both email and non-email means to invite students from their My Students page:

How are specialists and students deactivated?

Specialists deactivated in JAGForce will be deactivated in Headrush. Students can be deactivated in the same same way. However, the expectation is that students will essentially never be deactivated: once added to Headrush their account will always be available as an alumni.

How is data privacy protected?

Headrush operates under a FERPA and COPPA compliant privacy policy, which governs how any JAG-related data is handled. This coverage extends to the JAG relationship with JAGForce and any data received through the JAGForce - Headrush integration. Headrush is iKeepSafe certified.
